A good mailing base is not everything – you need an efficient tool to manage it!
Email marketing is an effective way of advertising and generating website traffic. A good mailing base is a treasure that is really hard to find today. It is best, of course, if the email address database is created by itself – e.g. through a newsletter and subscriptions on the site. Unfortunately, this solution is quite time consuming and not everyone can afford it. Many aspiring entrepreneurs decide to buy ready sets of email addresses, which is not always a good solution. One thing is certain – no matter how good our mailing database is and where it was acquired – we won’t do much without an efficient management tool. Smart Webtechnologies comes to the rescue. Our mailing application has a powerful tool for managing collected email addresses.
List of subscribers – what is it?
In the Smart Webtechnologies mailing application it is possible to create various subscriber lists. These are groups of email addresses that will later be used in specific mailing campaigns. Thanks to such lists it is possible to divide the mailing database into target groups. One subscriber can of course be assigned to several lists.
Lists of subscribers are displayed in the tool in the form of a menu – they can also be added to specific categories for cleaning purposes, as well as viewed and modified. Next to each name of the list is the column “members”, in which there are three numbers corresponding to:
- The number of subscribers confirmed and not on the blacklist.
- The number of subscribers unconfirmed and not on the blacklist.
- The number of subscribers on the blacklist.
Creating lists in the Smart Webtechnologies application
After clicking the “add list” option, the user defines its name, order in the menu, assigns it to a selected category and creates its description. The user can also define whether his list will be private or public. The private list name will be known only to the owner, while the public list will be displayed on all user subscription pages.
List of subscribers – management
Subscribers’ data from the selected list can be checked by clicking on its name. From this level, you can also edit the list basics, as well as import and export subscribers. E-mail addresses contained in the mailing database can be marked in the list as confirmed and unconfirmed. A confirmed address is one to which the shipment is made, an unconfirmed address is one that has subscribed to the list but has not confirmed its email address. All or selected subscribers from the list can be selected and copied / moved to another list or removed from the list.
From the level of the list you can check the data of individual subscribers – just click on the selected e-mail address and the user will be able to see basic information about the subscriber, lists on which the given e-mail address is located, campaigns in which he participates / participated, returns and subscription history. You can also remove the subscriber from the list at this level, but this will not permanently delete the subscriber from the mailing database.
Database of email addresses – management in the Smart Webtechnologies application
The Smart Webtechnologies application allows you to easily manage the entire mailing database or selected fragments (e.g. specific lists). There are many tools available here that allow operations on multiple subscribers simultaneously. These include, among others:
Search subscribers option
This option allows you to quickly find a selected subscriber in the entire mailing database (by e-mail address or ID). Subscribers included in the mailing database can also be sorted by email address, date of entry or modification from this level.
Database of email addresses – reconciliation of subscribers
Thanks to the tool for reconciliation of mailing base subscribers, you can perform quick operations on many subscribers at once. You can mark them as confirmed and choose whether to receive the message in HTML or text. It is also an ideal place to extract in a separate list those email addresses whose owners do not subscribe to any list, as well as to remove those subscribers who have signed up, but have not confirmed their subscription before or after a given date. With this tool you can also quickly remove from the database of email addresses, subscribers with an invalid email address or those from the blacklist.
Importing subscribers
The mailing database can be quickly imported into the program. The application also gives you the option to skip invalid email addresses and replace existing or retain old ones during import. The email address database can be moved in three ways:
- Copy / paste the list of addresses – after clicking this option, select the list to which the e-mail addresses should reach from the mailing database and enter / paste selected e-mails in the window below.
- Uploading a text file with a list of addresses – after selecting the option, select the list to which the e-mail addresses are to be sent and enter the text file with addresses in the window below (this cannot be a Word document). You can also select the “Test Output” option here – then the user will receive a list of analyzed emails on the screen (this is only a test option – the selected emails are not saved to the mailing database in the application).
- Import file with the list in CSV format – after clicking, select the list to which the e-mails should go and enter the file with addresses in the CSV format in the window below. Set field separator (default is TAB).
Mailing database – export of subscribers
The email address database can also be conveniently exported from the application. The tool allows not only one-time export of all recipients, but also those registered in a specific time period, those who were modified at a given time or those who belong to selected lists. In the application, you can export all data that the mailing database contains or select the columns of interest to be exported (ID, e-mail, whether the subscriber is confirmed / unconfirmed / is on the blacklist, the number of error messages, when entered / when last modified, additional data).
Mass removal of subscribers
The tool allows the simultaneous and permanent removal of a large number of subscribers from the email address database. Just paste the addresses selected for removal in the tool window and confirm your selection.
Manage the list of blocked addresses
With this tool, you can simultaneously mark a large number of subscribers as unconfirmed – you can also set blocking permanently. To do this, paste the selected addresses from the email address database and confirm your selection.
Adding subscriber attributes / personalization of mailing
The tool also allows for simple personalization of mailing. Attributes can be added to the email address database – e.g. the subscriber’s country of origin or domain. This attribute can be inserted later with the parameter into the body of the email. This is a very useful option when creating personalized campaigns – it is enough to define the required attributes in one of the windows and the campaign will be sent only to those subscribers who meet any or all of the conditions selected by the user.
